As an international organization, the Fintech Foundation required far more than day-of staffing. They needed a full-service event partner capable of handling planning, production, and large-scale on-site execution across a sprawling multi-floor venue. The six-floor footprint created unique operational complexity. Unlike single-level conferences, vertical venues demand higher staffing density, clear wayfinding on every floor, and tight radio communication between zones to keep attendees moving smoothly between sessions.

Campaign Staffing Requirements

Because the Fintech Foundation needed full event planning and management support, Eleven8 deployed both a production leadership team and a large daily operations crew.

  • 1 Event Producer — led full event planning and management in partnership with the Fintech Foundation, overseeing production timelines, vendor coordination, run-of-show, and on-site execution

  • 4 Captains — each assigned to oversee staff clusters across the six-floor footprint, serving as the direct line between managers and front-line staff

  • 14 Registration Staff — handled check-in, badge printing, credential scanning, VIP registration, and on-the-spot troubleshooting across multiple entry points

  • 12 Crowd Control — managed session transitions, capacity limits for popular panels, queue management, and secure-area access

  • 12 Greeters and Ushers — welcomed attendees, directed foot traffic between floors, supported speakers and VIPs, and ensured a polished guest experience throughout the venue

Operational Challenges

Multi-Floor Venue Complexity Spreading a 3,790-person daily conference across six floors required significantly higher staffing levels than a traditional single-hall event. Every floor needed its own wayfinding presence, captain oversight, and crowd control coverage.

High-Volume Registration With nearly 4,000 attendees arriving each morning — many within the same tight window before opening keynotes — registration had to be fast, accurate, and welcoming. Eleven8's team drew on existing experience supporting large-scale DC conference registration to keep check-in effortless.

International VIP Audience Fintech Week's global delegation meant white-glove service expectations, multilingual assistance needs, and coordinated VIP handling for speakers, sponsors, and government officials.

Session Transitions Back-to-back programming across multiple floors created frequent crowd surges in elevators, stairwells, and main corridors. Crowd control staff were essential to preventing bottlenecks and keeping sessions on schedule.

Our Approach

Full-Service Event Production Because the Fintech Foundation is an international organization without a local production team, Eleven8 embedded its own Event Producer directly into the planning process. This allowed us to own run-of-show, vendor management, staffing design, and on-site execution as a true extension of the client's team.

Floor-Based Captain Structure Eleven8 assigned four captains across the six-floor venue, each responsible for a defined zone. This captain model allowed managers to push decisions down to the floor level, keeping response times fast and ensuring no area of the venue went unsupervised.

Effortless Registration Experience Leveraging our team's prior experience scanning and registering large DC conferences, we built a registration operation designed for speed and accuracy. Fourteen registration staff were deployed across multiple stations to prevent lines and deliver a smooth first impression for every attendee.

Coordinated Crowd Flow Greeters, ushers, and crowd control staff worked together to guide attendees between floors, manage session capacity, and keep networking areas organized during peak moments.
