Austin Marathon Expo Staff for a Sold-Out Exhibitor Floor

Eleven8 provides event staff at the Austin Marathon for the exhibitors, brands and hosts working race weekend. The 2027 race falls on Sunday, February 14, which is Valentine's Day, and the Health & Fitness Expo fills Palmer Events Center on the Friday and Saturday before it. The event has grown fast. Organizers reported more than 30,000 registered runners across the marathon, half marathon and 5K in 2026, the largest field in its 35 years. All three days take place within a mile or two of downtown, and our Austin event staff live near enough to work every one of them.

The expo is unusual in two ways. It is free and open to the public, so your booth meets friends, families and curious locals as well as runners collecting their packets. And the exhibitor floor sold out in 2026, with organizers expecting the same for 2027, which means a company that has secured a booth should make it earn its place. Over two long days on a concrete floor, our brand ambassadors bring people in from the aisle, demonstrate the product, collect emails or sales and keep the display in order, in shifts short enough that nobody fades.

Sunday is less of a handout and more of a party. Runners finish on Congress Avenue in front of the Texas State Capitol and walk into a festival with a beer garden, live music, food trucks and a recovery area. Many stay for two or three hours with the people who came to watch them. A tent here works like a small festival activation, with somewhere to sit, something to do and staff who have time for a real conversation. Where alcohol is involved, the staff we place are of legal age and follow the rules the organizers and the permit holder set.

The setting makes the logistics simpler than at most big-city races. The start and the finish are both on Congress Avenue, a few blocks apart, so one crew can see the 7 a.m. start and be ready when the first finishers return. What cannot be predicted is the weather. A mid-February morning in Austin may be close to freezing or mild enough for shorts, and we plan for both with layers for staff and a hot and a cold option for your giveaway. The date offers an easy theme, too, if you want one for couples running together.

Packet pickup, the course, aid stations and medals are the business of the race's owner, High Five Events, and its volunteers. We do not provide those services. We staff the booth, tent or hospitality space your company has arranged. Many brands treat this weekend as their first Austin outing of the year and keep the same crew for SXSW a month later. For a price, send the quote form on this page with your booth size, days and hours.

Austin Marathon Staffing Across the Expo and Race Morning

Our 11-step process covers three days at the Austin Marathon: Friday and Saturday at the expo in Palmer Events Center, then Sunday at the finish festival by the Capitol. Most clients keep one core crew for all three, so the person who hands a runner a recovery drink on Sunday is the person who talked to that runner at the booth two days earlier.

Your account manager does the planning from booking to final report, with our operations office behind them at no added charge. They confirm exhibitor move-in times with you, arrange uniforms and gather anything the organizers ask of booth staff. You reach them on a client channel and the crew has its own, which lets what was learned on Friday shape the briefing on Saturday morning.

Each day staff check in by geo-location and walk the space with the lead. At the expo the booth is ready 30 minutes before the doors open. On Sunday the crew is downtown before the streets close, the tent is set before the 7 a.m. start, and nobody leaves until the festival winds down in the afternoon. A group chat keeps the lead, the crew and your account manager in touch all weekend.

1 standby per 8 staff members — a briefed Austin backup on call for each of the three days, at no additional cost
Geo-located clock in & out — a time-stamped record that your crew was at Palmer Events Center or the finish festival ahead of opening
Dedicated account manager & on-site lead — the same lead with your crew on Friday, Saturday and Sunday where possible
Daily recap & staff reports — leads, sales, samples and visitor feedback for each expo day and for the festival, sent after the weekend

Austin Marathon Crew Tasks for Each Working Day

Friday, Saturday and Sunday
1
Advance Planning
Client and crew channels open. Booth number, festival tent location, move-in times, uniforms, stock and shifts for all three days are agreed before race week.
2
Arrival
Staff arrive ahead of their shift, having parked or been dropped off away from closed streets. Geo-located check-in confirms the crew is in place on time.
3
Walkthrough
The lead shows the crew the booth or tent, storage, restrooms, the loading door and the nearest exit, and notes any area the organizers restrict.
4
Positions
Leads decide who works the aisle, who demonstrates, who takes emails or payments and who restocks, and place the strongest talker where traffic is heaviest.
5
Daily Briefing
The crew hears the plan for the day: expo hours or race start times, expected busy periods, the weather, your offer and the numbers you want.
6
Booth Setup
Product, signs, tablets and giveaways are set out and tested before the expo doors open or the first finishers reach the festival.
7
Doors and Finishers
Visitors arrive. Leads watch the aisle or the festival entrance and move staff toward the crowd as packet pickup or the finish line gets busy.
8
Break Rotation
Leads schedule breaks to meet labor requirements and stagger them through the day, so the booth is never down to one person at a busy hour.
9
Problem Solving
A late pallet, a tablet that will not connect or an unhappy visitor is dealt with by the lead quickly and quietly, away from runners and your guests.
10
Close-Out
When the expo closes or the festival ends, the booth is tidied, stock is counted and stored as you asked, and Sunday's tent is packed for collection.
11
Debrief
Badges and equipment are returned, the crew reports what visitors asked and said, and the lead passes the day's notes to your account manager that evening.

Austin Marathon Festival Staff and Guest Check-In Roles

Event staff talking with runners at a brand tent during an outdoor finish festival

Our Finish Festival Event Staff run your tent on Congress Avenue on race morning. They set up in the dark, cheer the 7 a.m. start and are ready when finishers and their families pour into the festival. Because people stay for the beer garden and the music, the job lasts longer than a simple handout: staff run a game or a photo spot, keep seating clear, restock and talk to people who are in no hurry to leave. They stay friendly and patient from the first finisher of the 5K to the last of the marathon.

Austin Marathon Exhibitors That Book Our Booth Staff

The companies we staff at the Austin Marathon are a mix of national names and Austin businesses. Running shoe and apparel makers, sports drinks, protein and snack brands, and recovery products take booths at the expo. Hospitals, clinics, physical therapists, banks and insurers come to meet a healthy local audience. Breweries, coffee roasters and restaurant groups from the city work the finish festival. Technology firms based here use the weekend to entertain staff and customers who are running. For those that want more than a table, our experiential staff run games, photo spots and product trials. What they share is a need for people who are reliable for three days in a row.

Eleven8 is an independent staffing agency. We are not affiliated with, endorsed by, or sponsored by the Austin Marathon, the Ascension Seton Austin Marathon, High Five Events or Palmer Events Center. "Austin Marathon" is a trademark of its owner. We provide event staff to the exhibitors and brands working race weekend. All marks belong to their owners and are used for identification only.

Street Teams in Downtown Austin on Austin Marathon Weekend

The finish festival is where an Austin Marathon weekend pays off for most brands. Runners have a medal, a drink and an hour or two to spare, and the friends who came to cheer are standing with them. Staff here need stamina and good judgment: enough energy to keep a tent lively from seven in the morning until early afternoon, and enough sense to let a tired runner sit down before starting a conversation. If your company is hosting its own guests, our check-in staff run the list at the entrance.

Why Use Austin-Based Staff at the Austin Marathon

Friendly Austin Locals

We take on about 3.5% of applicants, and the staff we send to the Austin Marathon are local people who are easy to talk to. Some run and some simply enjoy the weekend the way the rest of the city does. They know the neighborhoods the course passes through and where to get tacos afterward, and that local ease puts visitors at your booth in a good mood.

Indoor Expo and Outdoor Festival

This weekend has two very different workplaces. Palmer Events Center is an indoor hall with long, steady days and a concrete floor. The finish festival is outdoors, begins before sunrise and can be cold or warm. Our staff are prepared for both, with comfortable shoes for the hall and layers for the street, and they bring the same attention to each.

Briefed on Your Product

An expo that is open to the public brings every sort of question, from serious runners comparing products to passers-by who have never heard of you. We train your crew on what you sell, your prices, your offer for the weekend and the three points you most want remembered. They practice the demonstration before Friday, so the first visitor gets the polished version.

Fully Insured Team

Our insurance covers each person on your crew, and a certificate goes to the organizers or the venue whenever an exhibitor agreement calls for one. For companies exhibiting at the Austin Marathon for the first time, that is one item you can cross off the move-in checklist early, well before the deadline in the exhibitor manual.

All Three Days Covered

The expo on Friday and Saturday and the festival on Sunday are staffed under one booking, with one account manager and, where we can, one lead for all three days. The crew that learns your product at the booth carries that knowledge to the finish, and you receive a single report for the weekend instead of three separate ones.

Support Through Race Weekend

Our operations team can be reached from exhibitor move-in on Friday morning until your tent is packed on Sunday afternoon. If the forecast drops fifteen degrees, the booth is busier than planned or someone on the crew is unwell, we can change a start time, send another person or bring in a replacement, usually within the same shift.

An Austin Marathon weekend is three working days: two in a full expo hall that anyone can walk into, and one at a finish festival people do not want to leave. Our Austin crews work all three, know the product by Sunday and stay pleasant in whatever the February weather does. They are the same people we send to the city's bigger weeks, including Formula 1 at Circuit of the Americas in the fall. To hold a team for February 12-14, 2027, send a staffing request with your booth size and hours.

Every person assigned to your Austin Marathon booking has been interviewed, reference-checked and trained on our 11-step process. Before Friday they learn your product, your weekend offer and how you want leads recorded. They also know the practical things visitors ask at any expo, such as where packet pickup is and when the hall closes, so they can help and then bring the talk back to you.
24,821 Active Staff Across North America
Out of 24,821 active staff across North America, we hold a standing roster in Austin that works the city's conferences, festivals and race weekends through the year. Your crew is selected and confirmed weeks before the expo opens. We do not hire strangers at the last minute, and you can see each person's profile before you agree to the team.
One Dedicated Account Manager
One account manager is your contact from the day you inquire until the weekend report lands in your inbox. They keep track of the exhibitor deadlines, plan the three days with you and keep your channel separate from the crew's so that instructions stay clear. Our off-site operations desk works alongside them through the weekend, and that support is part of the booking price.
Backup Coverage Built In
For every eight staff we add one trained standby, and you are not charged for it. Three consecutive days give more chances for someone to fall ill, and a 5 a.m. call on Sunday is the shift people are most likely to miss. The standby has been through the same product training and can take over the position within the hour.
Expo and Festival Experience
Our Austin staff have worked trade show booths, music festivals, race expos and street events, which is the combination this weekend calls for. They know how to stop someone in a busy aisle politely, how a festival crowd behaves once the beer garden opens and how to keep a tent presentable for seven hours on a city street.
Reachable All Three Days
Your account manager and on-site lead answer on Friday, Saturday and Sunday, early and late. If you want to add a person for Saturday afternoon, change the giveaway halfway through or extend the tent because the festival is still full, you tell one of them and it is done the same day, with no wait until the office opens on Monday.

Austin Marathon Staffing Questions

When is the 2027 Austin Marathon and where is the expo? +
The 2027 race, the Ascension Seton Austin Marathon, is on Sunday, February 14, 2027, with a 7 a.m. start on Congress Avenue and a finish by the Texas State Capitol. The Health & Fitness Expo is at Palmer Events Center on Friday, February 12 and Saturday, February 13. In 2026 the expo opened from 11 a.m. to 7 p.m. on Friday and 9 a.m. to 6 p.m. on Saturday, and the 2027 hours should be similar. Our staff work your expo booth, your tent at the finish festival and any private event you host that weekend.
Who covers the booth if one of our staff is absent? +
A standby does. We train one extra person for every eight staff on your booking and include it in the price. They attend the product briefing and stay available on all three days. If someone calls in sick or fails to check in, the lead brings in the standby and your account manager lets you know. The early start on Sunday is the likeliest time for a gap, so the standby for that shift is confirmed again the night before. Your booth or tent opens with the team you ordered.
Who visits the Austin Marathon expo? +
More people than at most race expos, because entry is free and open to everyone. Every runner has to come for a packet, since there is no pickup on race morning, and many bring a spouse, children or friends. Local people who are not racing also come to look around and shop. For an exhibitor that means a larger and more varied audience across the two days, and staff who can talk to a competitive marathoner and to someone who wandered in for the free samples.
Can we ask for staff who are runners? +
Yes. Austin has a big running scene and many of our local staff run regularly. If you sell shoes, nutrition, watches or anything else where personal experience helps, tell us and we will choose runners for the product conversations. For other roles, such as greeting, check-in or restocking, we pick the most reliable and personable people whether they run or not. Everyone receives the same briefing on your brand and on how the weekend works, so no visitor gets a blank look.
When should we book staff for the Austin Marathon? +
As soon as your booth is confirmed, and no later than mid-January if you can. Exhibitor space sold out in 2026 and the organizers expect it to again, so most companies know their plans by the new year. Send the quote form with your booth size, days, hours and the roles you need. We answer with a price and staff profiles, you choose the uniform and pay the deposit, and we brief the crew in the week before the expo. Small additions can be made until a few days before.
What do your staff do at the finish festival? +
They run your tent for the length of the festival, which in Austin is several hours. That includes setting up before the start, handing out product, running any game, photo spot or sign-up you have planned, keeping seating and tables clean, restocking and packing up at the end. Because many finishers stay for the beer garden and the live music, staff have time to talk to people properly. They do not serve alcohol unless the permit holder asks for trained servers, and they check ID only where your activation requires it.
Can you staff a shakeout run or a party during race weekend? +
Yes. Many brands add something of their own to the weekend: a Saturday morning shakeout run from a shop or hotel, a pasta dinner for a charity team, a Valentine's Day gathering for couples who raced, or drinks for customers on Sunday afternoon. We provide hosts, check-in staff and setup crews for those, working from your guest list and your schedule. They report to the same account manager as your expo and festival crews, so the uniform, the timing and the message are consistent across everything you do.
What if race morning is freezing or wet? +
Then the plan changes and the staffing does not. February in Austin has produced near-freezing race mornings and warm, humid ones. Our crews bring layers, gloves and rain jackets, and leads shorten outdoor rotations when it is very cold. We suggest having a warm giveaway ready as well as a cold one, because a finisher who is shivering wants coffee or a blanket, not an iced drink. If the organizers delay or alter the race, your account manager adjusts call times and tells you straight away.
