9 Automation Tools That Revolutionized Event Management Processes
"Which automation tool or platform has had the biggest impact on how you manage events—and why?"
Here is what 9 thought leaders had to say.
Eventbrite Cuts Project Time by 85%
Eventbrite has changed how we conduct small projects such as the product launch of our products. What used to take three or four hours now only takes less than 45 minutes. We do a lot of regional demos and pop-up clinics with our BirdieBall mats, and there used to be three or four tools necessary to help us manage signups, reminders and tracking check-ins prior to Eventbrite.
What actually helped us was the real-time tracking. In one of our events, we increased our sign-ups by 32 percent after we started advertising using event social media sharing on Eventbrite. We did not make additional ads, and that alone saved us approximately 400 dollars in advertising costs.
Incidences of no-shows were also minimized. In 90 days, its automatic reminder email increased our attendance by 84 percent. The stats help but in our case, the important thing is the time saved and less human labor.

Airmeet Streamlines Event Management in One Platform
Airmeet is by far the platform that has made managing events less stressful and more predictable. The reason is its ability to handle everything in one place without making the process feel clunky. I can prepare speakers, manage transitions and keep things moving without switching tools or sending out extra links. This alone has saved me hours during multi session events.
With platforms such as Zoom, I always find myself needing third party add-ons just to run basic audience engagement or networking. Airmeet, on the other hand, keeps everything connected. I am able to create organized sessions, manage Q&As and even allow informal networking without switching between applications. The difference in the set up and flow will allow me to spend less time cleaning things up behind the scenes and more time running the event.

Social Tables Transforms Conference Seating Coordination
Among all the tools I have used, Social Tables has produced the biggest impact on how I manage my events. This is because it enables me to visualize and design events with accurate seating patterns and floor layouts that will make coordination easier.
Last year, we organized a very big conference whereby we had more than 500 attendees with particular seat requirements since they were attending various sessions in the conference. With the use of Social Tables, I could pre-book seat plans by giving each attendee a name and allocate their desired seat depending on what was required of them during their registration. This meant that on the day of the event, they did not have to try to follow a seating plan, and it made the entire process easier to accomplish by all parties.

Eventbrite Boosts Valor Coffee's Event Success
When having events at Valor Coffee, Eventbrite has been our best option for many reasons. It is an easy way to manage events from ticketing to tracking. When managing pop-up events or tasting events, Eventbrite automates any communication after the event is confirmed, and sends reminders, confirmations, and updated information to all ticket-holders. This has saved time and allowed us to focus on the event itself, regardless of how many attendees we have. I really like the social media capabilities with Eventbrite, which has helped promote our events and get quick ticket sales, usually attracting new customers we otherwise wouldn't have.
Eventbrite has also given us valuable data insights, which have been very advantageous when planning events going forward. By looking at how attendees were segregated demographically and looking at what they purchased, we have been able to adjust our offerings and target specific customers. For instance, I had a coffee tasting event this spring recently where we had 30% more attendance with that event than previous ones, because I adjusted our website and posted/Eventbrite's data to market the event for the better. Having the ability to manage the event logistics in one place has enabled Valor Coffee to put on larger and better events, while keeping the personal connection with our customers.

Wildapricot's Extensive Features Simplify Event Management
We use Wildapricot where I work. It's had a huge impact simply because its web of features is insanely extensive. For starters, it comes with a built-in web creation tool, which gives us the opportunity to boot up a webpage for an event application. It helps us make mobile registration as well, so there's a great degree of flexibility for people who want to sign up easily. Event promotion is made simple with automated emailing. This part's the most important because it frees up marketing resources on parts that matter instead of dragging the focus over to maintaining leads.

Script Elephant Solves Live Production Challenges
For my colleagues, the biggest impact didn't come from an existing tool—it came from realizing that none of them really worked for them the way they needed. They were constantly cobbling together scripts and cues for big live productions they managed across spreadsheets, docs, and emails, and it just wasn't cutting it—especially on show sites when things change and they had to make sure everyone is synced to perfection.
So, we built a platform to solve the challenges they kept running into (it's called Script Elephant!). Now, the whole team—from script writers and graphic designers, to crew and clients—stay in sync before and during the event to keep everything running seamlessly.

Asana Reduces Event Planning Time by 30%
Asana has transformed a lot in my event management. It does more than keeping tasks in line- it allows me to assume complete control of the process. In planning our final conference, I established workflows and monitored tasks in real-time, which made everything go well. This enabled me to adapt fast and maintain the team without any stress. Allowing all the features to be integrated into a single platform, including file sharing and emails, enabled the collaboration process. There is also the templates of recurring events, which is a tremendous time-saver. Our event planning time has reduced by 30 percent since we started using Asana and we are executing bigger events with less pain. This tool will actually help you work smarter, save time, and make your event management easier, in case you are willing to do it. You do not want to miss out.

Eventbrite Excels for Small-Scale Event Management
Eventbrite is simple and easy to use which makes it the perfect system on smaller-scale events where resources are limited. It deals with payments, email reminders, and ticketing on the same platform.
The actual benefit of the Eventbrite is it has a large number of users, which allows it to increase the visibility of events and attendance. It is also easily integrated with Mailchimp and other platforms which can assist us in marketing to particular groups of people hence, extending our reach.
As our events have expanded, we have discovered that Eventbrite does not have all of the functionality that we need in enlarged, more complex events. Its charges can become quite expensive, and it lacks the sophisticated instruments that Cvent or Bizzabo platforms allow. However, eventbrite is a good cheap option in smaller events.

Slido Centralizes Audience Feedback During Events
I used to use a mix of email, Zoom chat & Google Forms to manage live feedback and questions during events, but that all changed when I started using Slido.
Slido enabled me not to lose the flow of a session to record the input of the audience in real time. During our teacher training events, for instance, participants can now submit questions anonymously, upvote others and respond to polls without interrupting the speaker. That eased the process for our instructors and students. I no longer stop to gather scattered utterances across three channels or ask questions again to ensure they are understood clearly. All of it appears in a single uncluttered interface, and I am able to focus on what people truly care about.
